A useful handoff needs accessible evidence and clear ownership, as well as a record in the system.
A richer candidate profile is useful only if the people making the next decision can reach and interpret it. Plan the handoff into your hiring process before asking candidates to contribute.
Begin with the review moment.
Who opens the application first? What can that person view in the ATS? What reaches the hiring manager? Where do interviewers look for context? Test the actual path with a sample record rather than assuming that an uploaded document or pasted link appears everywhere.

Define the minimum useful handoff.
- The role or opportunity the information relates to.
- A clear way to identify the candidate in the existing process.
- The approved profile or record and how reviewers can access it.
- The information’s source, date, and relevant limitations.
- Who can receive updates or handle a correction.
Do not assume that a link means unrestricted access. A reviewer may need permission, and a candidate may later change what they share. Decide how the hiring process should handle those situations.
Separate a snapshot from a continuing relationship.
An exported document represents a point in time. A shared profile may change. Reviewers need to know which version informed a decision and whether later changes should trigger another review. Keep this distinction visible in the workflow you agree.
Run a small handoff test.
- Use a sample role and illustrative candidate record.
- Place the supported link or export in the agreed ATS location.
- Ask a recruiter and hiring manager to open it using their normal access.
- Check mobile viewing, onward sharing, and how a correction would reach them.
- Record problems before inviting candidates into the process.
